What to Write in a Thank You Card
Share

A thank you card is one of the most straightforward things to send and somehow also one of the hardest to write. You sit down with the card open in front of you, pen in hand, and the words that come are almost always the same: thank you so much, it was so kind of you.
Which is fine. It's true. But it doesn't quite say what you mean.
The good news is that a thank you card doesn't need to be long or poetic or clever. It just needs to feel personal - like it was written by someone who actually thought about the person on the other end. Here's how to do that, with messages for every occasion to get you started.
The Formula That Always Works
Before the specific messages, it's worth knowing the basic structure that makes any thank you card feel complete:
1. Name what you're thanking them for. Not just "the gift" - the specific gift, or the specific thing they did. This is the detail that makes it feel genuine rather than generic.
2. Say what it meant to you. How did it make you feel? What will you do with it? Why did it matter? One sentence here transforms a polite acknowledgement into something real.
3. Say something warm about them. A small personal line at the end — about the occasion, the friendship, looking forward to seeing them - gives the card a proper landing.
That's it. Three elements, two to four sentences total, and you have something worth sending.
What to Write in a Thank You Card for a Wedding Gift
Wedding thank you cards are often the most daunting - you may have dozens to write, and they can start to feel identical by the third one. The trick is to be specific about the gift and how you'll use it.
Heartfelt: "Thank you so much for the beautiful [gift] - we've already [used it / put it in the kitchen / found the perfect spot for it]. It means so much to have you celebrating with us, and we can't wait to see you soon."
Warm and personal: "We were so touched by your generosity. [Gift] is exactly what we needed and we think of you every time we use it. Thank you for being part of our day - it wouldn't have been the same without you."
Short and sincere: "Thank you for the wonderful [gift] and for sharing our wedding day with us. It was such a joy to celebrate with you there."
For a cash or voucher gift: "Thank you so much for your incredibly generous gift - we're putting it towards [honeymoon / new home / something we've been saving for] and it truly made a difference. We're so grateful to have you in our lives."
What to Write in a Thank You Card for a Birthday Gift
Warm and specific: "Thank you so much for the [gift] - it's exactly what I wanted and I'm already [using it / reading it / wearing it]. You always know just the right thing. So glad I got to celebrate with you."
Light and affectionate: "You really didn't have to - but I'm very glad you did. Thank you for the [gift] and for making my birthday so special."
Simple and genuine: "Thank you for thinking of me on my birthday. The [gift] is so lovely and I'll think of you every time I use it."
For money or a voucher: "Thank you for the incredibly generous gift - I'm going to put it towards [something specific] which I've been wanting for ages. You're very kind and it means a lot."
What to Write in a Thank You Card After Dinner or Being Hosted
Warm: "Thank you so much for having us - the food was incredible and it was such a lovely evening. You're the most generous of hosts and we left feeling very lucky. Let's not leave it so long next time."
Light and affectionate: "Thank you for a wonderful evening. The [specific dish] alone was worth the trip. We must return the favour soon - though we'll have a lot to live up to."
Simple: "Thank you for such a lovely dinner. The food, the company, the [wine / conversation / pudding] - all of it was wonderful. We're so grateful."
What to Write in a Thank You Card for a Kind Gesture
Sometimes someone does something - covers you at work, drops off food when you're ill, helps you move, turns up exactly when you needed them - and a text doesn't feel like enough.
For practical help: "I don't know what I would have done without you. Thank you for [what they did] - it made such a difference and I'm so grateful to have someone like you in my corner."
For emotional support: "Thank you for being there for me. It meant more than I can easily say. I'm lucky to have you."
For a small but meaningful gesture: "The [thing they did] was such a kind thought - it really cheered me up. Thank you for thinking of me. It's the kind of thing I won't forget."
What to Write in a Thank You Card for a Teacher
From a child (with a little adult help): "Thank you for being such a wonderful teacher. I've learned so much this year and I'll always remember being in your class."
From a parent: "Thank you for everything you've done for [child's name] this year. The care and patience you've shown has made such a difference - we're very grateful."
End of year: "It's been such a wonderful year. Thank you for your kindness, your enthusiasm and for making learning feel like such a pleasure. [Child's name] will miss you very much."
What to Write in a Thank You Card for a Job Reference or Professional Favour
For a reference: "Thank you so much for writing a reference for me - it meant a great deal and I'm delighted to say I've been offered the position. I'm so grateful for your support and won't forget the generosity of your time."
For professional advice or help: "Thank you for taking the time to [advise me / make that introduction / talk me through it]. It was genuinely helpful and I really appreciate it. I hope I can return the favour one day."
A Few Things Worth Remembering
Write it by hand. A printed or typed thank you card loses almost all of its warmth. The handwriting doesn't have to be beautiful - it just has to be yours.
Send it promptly. The longer you leave it, the harder it feels to send. A thank you card posted within a week of the occasion is always received warmly. One sent three months later, with an apology for the delay, is still better than nothing.
Don't overthink it. The person receiving the card is not judging your prose. They're just glad you wrote.
